As we continue to grow, we are looking for a detail-oriented and proactive Sales Administrator & Support Specialist to join our team and support our dynamic sales operations.

Position Summary

The Sales Administrator & Support Specialist will play a critical role in supporting the sales team and ensuring smooth day-to-day operations within the business. This individual will manage administrative tasks, facilitate client communications, process orders, and maintain accurate records to enhance sales efficiency and customer satisfaction.

The pay for this position is $23.00/hr and is located in our Seattle, WA sales office. This is a full time position requiring open availability.

Job Responsibilities

Sales Order Processing:

  - Accurately process and manage sales orders from receipt to fulfillment, ensuring compliance with company policies and regulatory guidelines.

  - Coordinate with the operations and inventory teams to verify product availability and manage order timelines.

Sales Support:

  - Assist the sales team with client account management, including updating records, resolving client inquiries, Logging & Applying Credits, and providing timely responses.

  - Prepare sales documents such as quotes, contracts, invoices, and delivery schedules.

Administrative Duties:

  - Maintain and organize sales documentation, contracts, purchase orders, and other required reports.

  - Track key performance metrics, sales pipeline activities, and customer data using CRM software.

Client Communication:

  - Act as a point of contact for clients to handle inquiries, updates, or concerns regarding orders and delivery schedules.

  - Foster strong client relationships by ensuring exceptional customer service and follow-through.

Logistics Coordination:

  - Work with internal and external teams to coordinate shipping, deliveries, and logistics for product orders.

  - Proactively address and resolve delivery, pricing or inventory issues.

Reporting & Data Management:

  - Generate and analyze sales reports to identify trends and provide actionable insights to the sales team.

  - Maintain accurate, up-to-date sales records and ensure compliance with company reporting standards.

Compliance Support:

  - Assist in ensuring all sales activities comply with local, state, and federal cannabis regulations.

  - Maintain necessary documentation for audits and compliance reviews.

General Support:

  - Support the sales leadership team with ad hoc projects and administrative needs.

  - Provide backup support during peak business times or staff absences.

  - Performs any and all other tasks as assigned or needed.


Qualifications

- 2+ years of experience in sales administration, sales support, or a related administrative role (experience in the cannabis industry is a plus).

- Strong organizational and multitasking abilities with a keen attention to detail.

- Excellent communication skills, both written and verbal.

- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with CRM systems (e.g., Salesforce, HubSpot, or similar).

- Ability to thrive in a fast-paced, high-volume environment and prioritize tasks effectively.

- Familiarity with cannabis compliance and regulatory requirements is a bonus.

- Customer-focused mindset with strong problem-solving skills.

- High level of integrity and discretion in handling sensitive business information.
